AI & privacy: how do you prevent your information from being misused?

Profile of a face dissolving into blue pixels

AI tools like ChatGPT, Gemini, and Copilot help you write faster, think more creatively, and find information more quickly. Yet there is also a dark side to these smart assistants: privacy and confidentiality. The risks, the legislation, and tips to get started safely.

AI tools are not scratchpads

Many professionals use AI as if it were a blank notepad. But it isn't. Everything you enter can be stored or used for training.

That means: confidential business information, personal data, or strategic plans are not safe in public AI tools. In an era where data-driven work is the norm, it is crucial to know how to use AI safely and responsibly.

Risks at a glance:

  • Lack of transparency: You often don't know how AI reaches a conclusion.

  • Bias and errors: AI can be biased or produce factual inaccuracies.

  • Security risks: Everything you enter can be stored – including by third parties.

Examples:

  • A press release with unpublished figures? That could be market-sensitive.

  • Job applicants' resumes? Personal data covered by the GDPR.

What you can do

Use AI consciously, especially when it comes to non-public data. That means:

1. Use approved tools only (such as enterprise versions with contractual guarantees).
2. Train your team: Ensure everyone knows the difference between safe and unsafe use.
3. Conduct a quick risk check: Is the information public? Does it contain personal data? Is it confidential?
4. Consider local AI: For truly sensitive documents, such as reorganization plans or internal strategy.

The regulations: GDPR and the EU AI Act

Two laws are important:

  • GDPR: Always applies to personal data. Use only with a valid legal basis.

  • EU AI Act: New law with rules for transparency and oversight of AI. Some AI tools fall under 'high risk'.

As a professional, you are usually a user, not a builder – but you are still responsible for how you deploy the tools.

AI is a tool, not a replacement for your judgment

Smart technology requires even smarter use. If you use AI mindfully, it can empower you enormously. But stay critical. Let AI support your work, not take it over.
